Step 1: Close Ticket Sales
First, you'll need to prevent new registrations:
Navigate to your event dashboard
Go to the RSVP Limits tab
Set the attendee limit to a number your event has already reached
For example, if you currently have 45 registrations, set the limit to 45
Save your changes
This approach keeps your event page visible but closes the registration section, preventing new sign-ups.

Step 2: Notify Your Attendees
Clear communication is essential when canceling an event:
Use our Announcement Email feature to contact all registered attendees
Create a message with the following elements:
Subject line: Clearly state that the event is canceled (e.g., "CANCELED: [Event Name]")
Body: Include:
Apology for the cancellation
Reason for cancellation (if appropriate)
Information about refunds (if applicable)
Contact information for questions
Send the announcement to all registered attendees
Step 3: Process Refunds (If Applicable)
If your event was ticketed:
Decide on your refund policy (full refunds are recommended for cancellations)
Email [email protected] with:
Event name
List of attendees to be refunded
Refund amounts
Or request a full refund for all attendees
Step 4: Update Your Event Page
Make the cancellation clear to anyone who visits your event page:
Edit your event description
Add a prominent note at the top stating: "THIS EVENT HAS BEEN CANCELED"
Consider adding brief details about the cancellation if appropriate
Save your changes
After Cancellation
Respond promptly to any questions from attendees
Ensure all refunds have been processed before event proceeds are finalized
Consider sending a follow-up message if you reschedule the event
