How to Invite Guests to Your Event

Learn how to send email invitations through Blackbird and share your event through your own channels.

Once your event page is ready and published, it's time to invite your guests. Blackbird RSVP offers flexible options to send invitations and promote your event effectively.

1. Send Email Invitations via Blackbird

Blackbird's built-in email invitation system allows you to send professional, mobile-responsive invitations that match your event's branding.

To send invitations:

  • Navigate to your event's dashboard and click on "Invitation List"

  • Choose to:

    • Add invitees individually by entering their names and email addresses.

    • Upload a list of invitees using our CSV template. Do not add new columns or change the headings of this template - the only required field is Email, so the First Name and Last Name fields can be kept blank if you'd like.

  • Visit the "Email Manager" and select "Invitation" where you can edit and schedule your email invitation.

Each email invitation includes an RSVP button that directs recipients to your event page, where they can view details and respond.

Customization Options:

  • The email will automatically include your event's name, date, time, location, and banner image.

  • You can add a personalized message to the invitation before sending.

Sender Information:

  • Invitations are sent from a Blackbird email address, displaying your name as the sender.

  • Replies to the invitation will be directed to your email address. To update this, visit the "Edit Settings" section on your event's dashboard.

Reminder Emails:

  • Utilize the "Email Manager" to send reminders to guests who haven't responded or to all guests as the event approaches.

2. Share Your Event Link Directly

If you prefer to use your own email system or other communication channels:

  • Copy your event's unique URL from the dashboard.

    • This is the URL you created while publishing the event and should look like: events.blackbirdrsvp.com/name-of-event

    • Unless you have the passcode activated, anyone with this link will be able to view the page and RSVP.

  • Share it via:

    • Personal or company email platforms

    • Text messages - simply copy and paste the event URL into your WhatsApp or texting platform

    • Social Media

    • Your website

    • Email Signature

    • Tip: You can also create a free QR code to add to your printed or digital materials through many third party tools.
